Rental Policies

Everything you need to know about reserving, receiving, caring for and returning AAA rentals. Your signed rental agreement lists the exact terms for your event — this page explains how we work.

Reserving your date

Rental availability is date-based — inventory is held for your event only after your booking is confirmed:

  • A deposit is required to reserve inventory and confirm your date. Items are never held by quote alone.
  • Your rental period covers the delivery/setup window through the agreed pickup or return time.
  • Quotes remain open for a limited time; prices are locked once your quote is accepted.
  • Minimum rental requirements may apply to certain items or delivery areas.

Delivery, setup & breakdown

We coordinate every window with you ahead of the event:

  • Delivery, setup and breakdown fees depend on distance, item size and scope, and are shown on your quote.
  • Delivery windows are scheduled in advance; someone must be available at the venue to receive items unless we arrange otherwise.
  • Setup and breakdown service covers the items listed on your order. Venue access times are the customer's responsibility to arrange.
  • Items delivered without setup service are placed at the nearest accessible drop point.

Care of rental items

While items are in your care — from delivery until pickup — you are responsible for them:

  • Keep items in a safe, covered location and do not leave decor or furniture exposed to rain or standing water.
  • Do not move large pieces between venues without our approval.
  • No tape, staples, glue or open flame on or near linens, backdrops and furniture.
  • All pieces should be gathered at the agreed pickup location at the end of your event.

Damage, missing items & deposits

We expect normal wear — accidents happen, and this is how we handle them:

  • A refundable damage deposit may be collected with your booking and is returned after items come back and pass inspection.
  • Missing items are charged at the replacement value listed in your agreement.
  • Damage beyond normal use (stains, burns, breakage) is charged at repair cost, up to replacement value.
  • Damage charges are first applied to the damage deposit, with any remainder invoiced to the customer.

Late returns

Rental items must be ready for pickup or returned by the agreed time. Late returns may incur additional rental charges for each extra day, since the pieces are reserved for the next event.

Changes, cancellations & weather

Life happens — here's how we adjust together:

  • Additions are welcome anytime before your event if inventory is still available for your date.
  • Deposits are non-refundable once inventory has been reserved for your date; the deposit is transferable to a new date if you reschedule with reasonable notice.
  • Cancellations close to the event date may be subject to additional charges as outlined in your rental agreement.
  • For outdoor events, the customer is responsible for a weather plan; we will work with you to adapt setups where safely possible.

Photo booths & 360 experiences

Booth experiences include attendant service, setup and breakdown. The venue must provide adequate power and a level surface within a reasonable distance of the booth location. Guest photos and videos are delivered digitally after the event.
